Job Description:
The Client Services Coordinator supports the Agency’s efforts in all  day to day functions. The Coordinator is expected to be highly  proficient in their functional area, manage a challenging multi- tasked workload, anticipate the needs of all clients, staff and any  third party resources or services employed to deliver client goals  and objectives. This position is extremely important in the overall  operation of the agency, and all applicants must demonstrate the  ability to learn new and sometimes difficult areas of the business,  to help deliver results. Ideas and efforts are an important part of  this position, but they must be goal oriented, day dreamers need not  apply.

Essential Duties and Responsibilities:
  • Provide daily administration and assistance including handling  correspondence, phone calls, mail, and office organization.
  • Have a working knowledge of the client’s product/service and its  relationship to its competitors. Stay current; read trade journals  (at least three a month), clip articles and competitors’ ads.
  • Possess a comprehensive understanding of Agency procedures (billing,  PO’s, estimates, change orders, approvals, contracts, etc.)
  • Initiate accurate and detailed paperwork for jobs that are input  into the production and accounting systems and follow the process  from beginning to end.
  • Complete accurate reports and forms as appropriate to the job.
  • Maintain project timelines and due dates.
  • Anticipate media schedules and due dates.
  • Prepare status and conference reports after every meeting or  conference call
  • Proofread all work and sign off on it
  • Increase proficiency with computer (Word, Outlook, Excel,  PowerPoint, Smart Plus, Print Plus and additional, client specific  software and programs.)
  • Assist in planning and market development efforts, including develop  media lists, making direct contact, and compiling market information  relevant to clients and proposed new market efforts
  • Be available to support Agency as needed on a project basis.
  • Additional reporting and follow up as necessary.

Qualifications:

1. Attitude and Talent, First and Foremost!
  • College degree preferred, (Advertising or Marketing) major preferred.
  • Prior experience in an advertising-related company.
  • Ability to communicate effectively (written and verbal).
  • Good organizational and motivational skills.
  • Proficient in Word and Excel.
